Role Description

The successful candidate will provide comprehensive secretarial, administrative, coordination, and stakeholder support to the Actuarial Human Capital function, actuarial students, senior management, and broader business stakeholders. The role is responsible for supporting the efficient administration of actuarial study programmes, training and development activities, office operations, meetings, travel arrangements, communication, and general business support. This position serves as a key liaison between internal stakeholders and contributes to the smooth functioning of the department through proactive planning, coordination and administrative excellence.

What will you do?

Responsibilities will include, amongst others, the following:

Secretarial and Executive Support

  • Provide comprehensive secretarial and administrative support to the department leadership and broader team. 
  • Manage diaries, schedules, email correspondence, and meeting logistics. 
  • Organise and coordinate meetings, workshops, training sessions, presentations, and virtual events. 
  • Coordinate travel arrangements, accommodation bookings, and related logistics. 
  • Manage general office administration and provide support across departmental activities. 

 

Actuarial Student and Training Administration

  • Assist with the coordination and administration of matters relating to actuarial studies within Sanlam. 
  • Provide administrative support for actuarial student programmes, bursaries, study schemes, and development initiatives.
  • Support the maintenance of accurate records and data relating to actuarial students, bursary holders, and study progress, ensuring data integrity and     appropriate record keeping.
  • Assist with stakeholder communication and coordination between actuarial students, universities, ASSA, line managers, and other relevant parties. 
  • Provide administrative support for training and development activities, including scheduling, logistics, communication, and record management.
  • Assist with reporting, governance, and compliance-related administrative requirements associated with actuarial student and learning programmes

 

Financial and Administrative Support

  • Process invoices, payment requests, and proof of payment documentation. 
  • Support procurement activities, including the ordering of promotional, training, and office-related items. 
  • Assist with service requests and administrative workflows. 
  • Maintain filing systems, databases, and departmental records.

 

Communication and Stakeholder Management 

  • Build and maintain effective relationships across all levels of the organisation. 
  • Communicate professionally with students, management, service providers, vendors, and external partners. 
  • Support communication, engagement, and employer branding activities where required. 


General Support

  • Provide administrative assistance to HC and senior managers
  • Assist with special projects, events, and ad hoc initiatives. 
  • Contribute to continuous improvement of administrative processes, systems, and service delivery.

What will make you successful in this role?

Qualifications 

  • Relevant Tertiary qualification

 

Experience

  • Minimum of 6 years' experience in a secretarial, executive assistant, administrative support, or office administration role.
  • Proven experience coordinating meetings, travel arrangements, events, documentation, and stakeholder engagements.
  • SAP Finance is to make payments (Advantageous)
  • Experience in office administration, record management, and maintaining confidential information.
  • Experience supporting multiple senior managers or teams will be advantageous.
  • Exposure to training administration, learning and development, bursary administration, or student support programmes will be advantageous.
  • Familiarity with actuarial studies, professional development programmes, or the financial services industry will be beneficial.

 

Knowledge and Skills

  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Proficiency using SAP Finance for payments (Advantageous)
  • Ability to prepare professional presentations, reports, and meeting documentation.
  • Strong administration, coordination, and organisational skills.
  • Knowledge of document management and record-keeping practices.
  • Financial administration experience, including invoice and payment processing.
  • Familiarity with service request systems and travel booking processes would be advantageous.
  • Strong data management skills with a focus on quality and accuracy
