Purpose of the Role
The primary function of this role is to provide support to the Business Manager in terms of the following:
Output/Core Tasks:
• Office and diary management
• Mail and information management
• Travel arrangements
• Organizing and preparation of meetings; functions; presentations; conferences; workshops; satellite broadcasts, video conferences etc.
• Preparation of documents and the distribution thereof for the above
• Minute taking
• Consolidate and provide relevant reports
• Support Business Manager with secretarial duties as required
• Assist with adhoc requests
Overview of Role Responsibilities (Level 1-13)
Administration- Level 2 - Process Operator
Conduct data entry into company systems, and review and verify the information to ensure accuracy and accessibility.
Document Management- Level 2 - Process Operator
Maintain files and records.
Document Preparation- Level 2 - Process Operator
Use standard office software to carry out basic formatting of letters, memoranda, and routine reports.
Work Scheduling and Allocation- Level 2 - Process Operator
Organize own work schedule each day in line with changing priorities.
Operations Management- Level 2 - Process Operator
Carry out operational tasks by following established processes. May involve adjusting basic settings or parameters in order to meet performance standards.
Required Skills
Planning and Organizing - Intermediate
Works at an intermediate level to plan, organize, prioritize and oversee activities to efficiently meet objectives. Typically works with guidance.
Verbal Communication - Basic
Works at a basic level to express ideas, request actions, formulate plans, and policies by means of clear and effective verbal communications. Typically works under close supervision.
Policy and procedures - Basic
Works at a basic level to monitor, interpret and understand policies and procedures and ensure their alignment with organizational strategies and work objectives. Typically works under close supervision.
Computer Skills - Basic
Works at a basic level to understand and effectively use standard office equipment and standard software packages to support business processes. Typically works under close supervision.
Work Scheduling - Basic
Works at a basic level to ensure the optimum scheduling of work and material resources to meet planned performance targets. Typically works under close supervision.
Maintains the Relationship - Basic
Works at a basic level to cultivate and sustain positive interpersonal connections, fostering trust, collaboration, and effective communication to support enduring professional relationships. Typically works under close supervision.
General Experience
Qualification and Experience:
• Secretarial Qualification/Diploma
• A minimum of two years Secretarial/Personal assistant experience
• Previous experience in a Sales environment will be an advantage
Knowledge and Skills:
To be successful you will need to demonstrate good experience in:
• Service Request system (SRS)
• Amex Travel system
• Computer literacy (specifically advanced knowledge and well developed skills with regards to MS-Office)
