Purpose of the Role

The Financial Project Administrator will be responsible for reviewing and reconciling accounts, processing payments to external partners and maintaining updated records of invoices, including reporting on project-related spend for Glacier Financial Solutions part of the Glacier Group. This successful incumbent will support financial analysis and reporting by gathering data and preparing standard reports. In addition the role will ensure adherence to financial policies and contributes to process efficiency. This role will be based at the Glacier Head Office in Cape Town. 

Overview of Role Responsibilities (Level 1-13)

Information and Business Advice- Level 4 - Process Expert
Resolve complex queries from internal or external customers or suppliers by providing information on policies and/or procedures, referring the most complex issues to others.

Financial Reporting- Level 4 - Process Expert
Conduct routine tasks of preparing and disseminating financial reporting aligning with the organization's established protocols. Monthly reports and reconciliations performed over project related invoices and their respective suppliers. Assist with reports to finance management. Maintaining schedules and details of project financial transfers and other project related payments required and their due dates. Monthly journals (including cost allocations, journal moves and credit card expense re-allocations).

Financial Policies, Guidelines, and Protocols- Level 4 - Process Expert
Assist with the development and delivery of financial policies, guidelines, and protocols to ensure the company complies with regulations and good financial practice. Ensure all project invoices are captured upon receipt into the SAP accounting system. Liaising with Sanlam centralised services and monitoring of supplier records for payments and outstanding payments. Ensure all suppliers are paid timeously. Assist with analysing, prioritisation, and driving implementation of finance processes relating to project spend. Effective creation of efficiencies within control environment. Involvement in cost centre reporting process

Regulatory and Compliance Management- Level 4 - Process Expert
Carry out a wide range of compliance monitoring activities and give basic advice on compliance and regulatory requirements. Involvement in the audit process (Internal and External) and timeously respond to audit related queries.

Organizational Risk Management- Level 4 - Process Expert
Gather, monitor, and analyze risk data and recommend further investigation. Involves using established risk management models, systems, and protocols and working under direction. Respond to finance-related queries from internal stakeholders and suppliers, providing guidance on processes and procedures while escalating more complex issues where appropriate.

Works at an intermediate level to identify, analyze, and prioritize potential organizational threats, gather intelligence to evaluate their credibility and potential impact, and use analytical techniques to differentiate real from perceived threats, while proactively monitoring emerging threats and planning for organizational preparedness and resilience. Typically works with guidance.

Education

Degree or Diploma with 1 to 2 years related experience.
