Co-odinator: Data Strategy

What will you do?
The Santam Group Data Strategy Office is looking for a proactive and organised candidate to coordinate and provide administrative support to the Data Strategy team within Group Underwriting Services.
The role will support the delivery of the Data Pillar initiatives and Group-level Data Use Cases. It also provides administrative support and ensures smooth operations within the Data Strategy team. This role reports directly to the Product Owner for Data Strategy.
What will make you successful in this role?
The Data Delivery Coordinator for the Data Strategy team is required to support the Data Strategy team. The successful candidate will be responsible for coordinating team and project activities, scheduling, and administrative tasks to drive team efficiency within the context of the data transformation. This includes the coordination of activities to support the data pillar roadmap initiatives, change management activities and strategic data projects; assist the team with administrative support, including scheduling, financial control, reporting, and document management; coordinate daily stand-ups; track progress, identify potential risks, and escalate issues as needed; support communication and collaboration within the Data Strategy team and other stakeholders across Santam and Sanlam Group.
Key Responsibilities, outputs/deliverables and outcomes:
- General administration support
- Coordinate meetings, workshops, capture actions, ensuring follow-through on actions.
- Provide budget and cost control support. Process invoices and payments. Assist with budget monitoring and spend. Handling budget related queries.
- Office asset management and maintenance of asset register for the team.
- Timeous and accurate scheduling of meetings incl. venues and facilities.
- Function organizing and management.
- Onboarding of new team members including sourcing of IT equipment.
- Co-ordinate travel arrangements for team as needed.
- Stakeholder Management and Communication administration support
- Main point of contact for all administrative matters.
- Facilitates communication between the Business Strategy team, Project Delivery Centre (PDC), with Head of Data Strategy and team members.
- Resource and Risk Management support
- Identify resource needs for Data Pillar maturity roadmap and Data Use Case initiatives. Assist Data Strategy Product Owner to allocate resources effectively.
- Monitor potential risks and collaborate with team members to update mitigation plans.
- Process Improvement
- Support improvement of project mgt and delivery processes within the function.
- Develop tools, templates, and best practices to enhance project efficiency.
- Data Pillar initiative coordination and administration support
- Work closely with team members to monitor and support the implementation of data maturity initiatives in line with the strategic goals and milestones (OKRs).
- Assist with planning, scheduling, and executing key initiatives.
- Maintain project timelines, track milestones.
- Support project needs, dependencies and assist with issue resolution.
- Provide clear, timely reports on progress, risks, and dependencies.
- Develop and disseminate project documentation, keeping all stakeholders informed and aligned on goals, timelines, and deliverables.
- Provide tool support, specifically Confluence, Sharepoint and JIRA.
- Data Use Case support
- Assist with development of a Data Use Case Portfolio view. Document, visualise, track and update portfolio status and progress.
- Provide logistical and administrative support to team members.
- Track outcomes and measure the impact of data use cases, collecting data to report on the overall success and business impact of the initiatives.
- Change Management coordination and administration support
- Assist Change management team in planning, scheduling, and executing key initiatives associated with the change management strategy and plan.
- Maintain timelines, track milestones, and provide administrative support.
- Coordinate resources to enable change management plans, assisting with issue resolution.
Qualifications & Experience
- Minimum 5 years to 8 years’ experience as project administrator/coordinator in a large corporate. Responsible for supporting several project managers.
- Knowledge of the insurance or financial services industry.
- Proven track record of dealing at senior levels (CEO office or similar)
- Evidence of experience in engagement with key business and external partners
- Experience working with financial systems in the context of projects.
- Demonstrated experience in the governance components of contractor management.
- Knowledge of data management frameworks (such as DAMA) and experience working within data teams and/or data-related initiaitives.
- Experience working in agile teams, with a sound understanding of the scrum ceremonies, sprint planning, and retrospectives.
- Sound understanding of the system development lifecycle processes and methods from business concept to deployment stages.
