Santam Specialist Business has a career opportunity for an Administrative Assistant who will service the Cluster which is Agri Crop and Heavy Haulage. The role will be based in Bloemfontein, reporting to the Business Head Operations. The Heavy Haulage team specializes in insuring heavy commercial vehicles in the transport industry. The Agri crop team specializes in insuring crops.
JOB PURPOSE
The Administrative Assistant is responsible for providing efficient and reliable administrative support to the business units as well as the Agri Research Farm. The role is responsible for a variety of administrative tasks, maintain accurate records, and act as a point of contact for internal staff and external clients. The role will further ensure the smooth operation of daily business activities.
KEY RESPONSIBILITIES
- Deliver comprehensive administrative support to the Bloemfontein and Joburg teams.
- Professionally manage incoming calls, emails, and correspondence.
- Maintain accurate records, contracts, and documentation for the business units.
- Oversee and manage general business mailboxes.
- Arrange, book, track and report on all Trainings.
- Support the research farm with admin related tasks.
- Support the research farm with procuring and sourcing suppliers.
- Onboarding of suppliers on the JDE system.
- Arrange and manage all local and international travel requirements.
- Handle supplier payments, supplier registration, and supplier sourcing.
- Process payments of admin fees to outsource partners
- Support teams with document collection
- Manage staff expense claims, including JDE payments.
- Schedule appointments, meetings, and manage calendars
- Co-ordinate language translation requests on documents.
- Maintain and procure office needs, grocery, stationery, business cards, magazines, subscriptions for the offices.
- Organising for staff events and coordinate venues
- Assist with office relocations and support the cleaning staff.
- Procure and maintain office supplies, including groceries, stationery, business cards, subscriptions, and magazines.
- Responsible for typing of business-related documents.
- Manage office-related procurement services such as flower orders, certificate framing, telephone reports, posting, printing, and maintaining contact lists.
- Ensure the business-specific SharePoint intranet is kept up to date with current and relevant information and documentation.
- Arrange building access for staff and visitors and liaise with facilities regarding maintenance issue.
- Ensure that business documents are updated e.g. assessment procedures
QUALIFICATIONS AND EXPERIENCE
- Matric
- A relevant qualification.
- 3 years related experience
- Computer literate (advanced level of MS Office).
KNOWLEDE AND SKILLS
- Strong organisational skills and attention to detail
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Ability to manage multiple tasks and meet deadlines
